Data Controller
Global Integration is the data controller and SocialOptic the data processor acting under our instruction.
What personal data we collect
The surveys, or forms may collect some or all of the following personal data: name, email address, mobile number, telephone number, and answers to multiple choices questions, including agreement scales, team location and structure.
How we use your data (purposes)
The user’s personal data will be received by Global Integration and may use the personal data to contact the user. Data is used for the purposes of providing feedback and insights into your organisation, evaluation of training programs and the services the Global Integration provides. Your data is not shared with any other 3rd parties. Your email address may be used to send you an invitation to the survey, and reminder emails. Responses will be anonymised before reporting, and minimum response thresholds are applied to further protect your anonymity.
- Use of evaluation questions and results
If you are an evaluation respondent, responses are stored anonymously and minimum response thresholds are applied to further protect your anonymity. Responses per training program are aggerated and shared with the organisation who has engaged Global Integration's services.
Where we are asked by clients to capture PII, if you respond to these questions, you consent to the provision for Global Integration to use this information to fulfil their service with the organisation.
We use a functional cookie to enable SurveyOptic to track your progress through the survey to completion. This cookie expires after 30 days and does not contain any of your submitted data.
Legal basis for processing personal data
Article 6 of the General Data Processing Regulations:
(b) processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract.
Data Processors and other recipients of personal data
SocialOptic is the data processor and will only share data with Global Integration and both parties sub processors.
International data transfers and storage location(s)
SocialOptic uses UK-based servers, and all data processing takes place within the UK. Data is also accessed from the United States.
Retention and disposal policy
Personal data will be stored during the field period of the survey, or form and for the subsequent analysis. Global Integration can provide surveys or forms as part of a bespoke project which have different retention and disposal policies. How we keep your data secure
SocialOptic is certified in accordance with industry standard cyber security accreditations (Cyber Essentials and IASME information assurance standards) as well as audits by financial services and government organisations and independent security testing. SocialOptic has a data security policy, data governance policy, business continuity plan and incident management process which are regularly reviewed. These policies cover patch management, testing, audit and the full data life cycle. All data centres are ISO 27001 certified, with independently verified security accreditations covering physical access control and logical security. All data is encrypted during transfer and storage.
Your rights as a data subject
By law, data subjects have a number of rights and this processing does not take away or reduce these rights under the EU General Data Protection Regulation (2016/679) and the UK Data Protection Act 2018 applies. These rights are:
1. The right of access – individuals have the right to ask for a copy of any information about them that is used.
2. The right to rectification – individuals have the right to ask for any information held about them that they think is inaccurate, to be corrected
3. The right to restriction of processing – individuals have the right to ask for any of the information held about them to be restricted, for example, if they think inaccurate information is being used.
4. The right to object to the information being used – individuals can ask for any information held about them to not be used. However, this is not an absolute right, and continued use of the information may be necessary, with individuals being advised if this is the case.
5. The right of erasure – this is not an absolute right, and continued use of the information may be necessary, with individuals being advised if this is the case.
